Toursside

Visa tracking software for travel agencies

A visa file has more moving parts than most bookings: several applicants, documents that arrive one at a time, an appointment, a reference number and a decision that everyone is waiting for. Toursside keeps each visa application as an order with its own status, so no file goes quiet.

What it does

A visa order with the right fields

Destination country, visa type, application date, appointment date and the application or reference number.

Applicants with passport details

Each applicant is listed on the order with their passport details, and the order shows what is still to collect.

A status for every stage

From Documents needed, through submission, to Approved or Rejected. The list shows which files need you today.

Search by visa reference

Find an application from its reference number as well as by the customer's name.

Fee, cost and payments

Record your service price and the cost of the visa, send an invoice and track what has been paid.

With the rest of the trip

Link the visa to the traveller's flight, hotel or tour, so the whole trip sits under one customer.

See every open application at once

Filter the orders list to visas and you have a working list of every file in progress, with its status and the next thing to do. A file that is waiting for a passport copy looks different from one that is waiting for an embassy decision, so follow-up with customers is quick and nothing depends on one person's memory.

Dates that matter, in one place

The application date, the appointment date and the reference number sit together on the order with notes and a history of changes. When a customer calls to ask where their visa is, any member of staff can answer from the order.

What it does not do

Toursside does not submit applications to embassies, consulates or e-visa portals, and it does not check visa rules for you. You apply through the usual channel and use Toursside to track the file, the customer and the payment.

Who it is for

  • Travel agencies that offer visa services with their trips
  • Visa consultancies handling many applicants at a time
  • Agencies arranging visas for groups and families
  • Teams that track applications in spreadsheets or messaging apps today

How it works

  1. Create a Visa order with the country, visa type and applicants.
  2. Collect documents and passport details; the status stays on Documents needed until the file is complete.
  3. Submit the application yourself, then record the dates and reference number.
  4. Update the status to Approved or Rejected when the decision arrives.
